What is a Medical Record Administrator?
The Medical Record Administrator is responsible for approving or rejecting subsequent requests submitted by other pod users aligned to your company profile. This role also manages reviewing and revoking access for existing pod users who have been granted medical record access.
👉 Note: If this is the first request submitted for your company, you will automatically become the Medical Record Administrator.
Steps to Set Up Medical Record Access

Navigate to a record
From an employee’s profile page, exam details page, or by selecting All Available Medical Records. -
Open the Medical Records prompt
A window will appear titled Medical Records.-
It will show “No Access.”

Create and confirm a PIN.

From the Select Company Access dropdown, choose the appropriate companies you want to enable access for.

The Medical Records Administration field is grayed out by default. By completing this setup, you will automatically be designated as the Medical Records Administrator for your company.

Save your request
After creating a PIN and selecting the company, click Save. -
Approval process
Your request is routed to NMS Health’s IT team for review.-
Most approvals are granted within 24 hours.

✅ Once approved, you (and any additional users you authorize) will have access to the requested medical records under your company’s profile.
